Executive Assistant

Responsibilities:
1.Collect and analyses information and prepare reports and presentations.
2.Develop and carry out an efficient documentation and filing system maintain files records and correspondences.
3.Compose correspondence of documents, letters, circulars, reports, emails etc. as required and directed by the General Manager.
4.Research, compile and prepare confidential documents, summarize findings and brief the General Manager of the contents.
5.Maintain GM schedule by planning and scheduling appointments, meetings and conferences and manage the calendar based on priorities and deadlines.
6.Act as liaison between the General Manager, subordinates or others by communicating instructions and assignments, and monitor work in progress.
7.Collect meeting related materials, take and record minutes of meetings and follow? up on the pending issues and update action point accordingly.
8.Review and proofread documents addressed to General Manager signature.
9.Undertake the tasks of receiving calls, take messages and routing correspondences.
10.Administer and record IT matters related to SIM cards across all departments.
11.Distribute and dispatch mails and letters reviewed and approved by General Manager.
12.Arrange Travel, Hotels, Itineraries and all correspondence related to arrangements as needed.
13.Organize internal events, occasional celebrations and other seasonal activities, when required
14.Prepare and submit daily sales report to Managing Director and General Manager.
15.Manage and oversee MMS system and train existing employees and new joiners.
16.Maintain assigned files and ensure confidentiality of all work and correspondence handled.

Qualifications:
1.Diploma or Bachelor’s Degree in Business Administration or another related field.
2.Min. 5 Years of experience in Administration
3.Fluency in English, Arabic is a plus
4.Proficiency in (excellent in MS word, excel, power point presentation)
5.With driving license will be an advantage.
